AI is moving so fast that there’s always the nagging feeling “Am I falling behind?”. Here’s a quick way to check and to up your game.
Each level below is a job your prompt might be doing right now that it shouldn’t have to. Skim the ones you’ve already solved, find the first one you haven’t done yet (that’s your next move), and skim the rest to see where this might be heading.
1. You’re typing in data you’re looking at on another screen.
You’re reading numbers off a spreadsheet and typing them into the chat. Revenue was R12.4M, margins were 18%, top three clients are 61% of revenue. The AI gives you a decent answer, but you’ve just been a slow, error-prone copy-paste machine between two windows.
Drag the file in. Every major AI tool lets you attach spreadsheets, PDFs, and documents directly. The AI reads the actual data instead of your summary of it. Better answers, fewer mistakes, and you stop being a human data cable.
Level up in 60 seconds: Next time you catch yourself typing a number into a prompt, stop. Attach the file instead.
2. You’re re-introducing yourself every conversation.
“I’m a commercial lawyer specialising in property finance. Keep your tone formal. Don’t give me disclaimers. Structure your answers as issue, analysis, conclusion.” Every new chat, you onboard the AI all over again.
Most AI tools now have persistent custom instructions or preferences. This is a place where you describe who you are, how you work, and what you expect. Set it once. Every conversation starts pre-briefed.
Level up in 60 seconds: Open your AI’s settings, find custom instructions or preferences, and paste in the briefing you keep retyping.
3. You’re re-uploading the same documents every session.
You’ve got a strategy doc, a brand guide, a set of templates, a few key reference files. Every time you start a new conversation, you drag them all in again. The AI reads them, does good work, and then forgets everything when you close the tab.
Most AI platforms now offer persistent project spaces. Upload your core documents once, and every conversation within that project has them loaded already. Your recurring context stops being something you assemble and starts being something that’s just there.
Level up in 60 seconds: Create a project for your most common type of work and upload the three documents you find yourself attaching most often.
4. You’re re-explaining what happened last time.
“As we discussed last week, we decided to go with option B for the pricing restructure, and you suggested we model three scenarios.” You’re spending the first paragraph of every prompt catching the AI up on a conversation it’s already had with you.
Memory features have rolled out across all the major platforms. Your AI can now recall previous conversations, decisions, and context. It’s imperfect but it means you can mostly pick up where you left off instead of starting over.
Level up in 60 seconds: Check whether your AI tool has a memory or conversation history feature and switch it on if you haven’t already.
5. You’re the courier between your tools and your AI.
You pull a message from Slack, a doc from your Drive, some notes from your project tool, and paste a patchwork briefing into the chat window. You’re manually ferrying context from where it lives to where the AI can see it.
AI tools now connect directly to dozens of work applications: email, cloud storage, CRMs, project management, communication tools. When you connect them, the AI can pull context from your actual tools live in the moment rather than from your copy-paste assembly.
“Review the latest Slack thread about the Henderson deal alongside the proposal in Drive” becomes something you can just ask.
Level up in 60 seconds: Connect one tool you use every day (your email, your cloud drive, your project manager) and ask the AI a question that requires it.
6. You’re writing elaborate step-by-step instructions.
“First pull the Q3 data, then compare it to Q2, then flag anything where the variance exceeds 10%, then format it as a table, then write a summary paragraph for each flagged item, then...” Your prompt is a project plan. You’re pre-chewing every step because you don’t trust the AI to figure out the sequence.
Agentic planning features are now available on most major platforms. You describe the outcome “prepare a variance analysis comparing Q3 to Q2 with a summary of anything significant” and the AI plans the steps, executes them, and delivers finished work. For workflows you run regularly, you can save them as reusable commands.
Level up in 60 seconds: Take the longest prompt you wrote this week, delete all the steps, and just describe what “done” looks like. See what happens.
7. You’re doing the same manual task every Monday morning.
You export a report, reformat it, pull in a few other data points, and email a summary to your team. Every week. Identical process. You’ve thought “this should be automated” but that sounds like a job for an IT department you don’t have.
Scheduled tasks and automations are now built into several AI platforms. You can set up a recurring task (daily, weekly, whatever cadence) and the AI runs it on schedule without you initiating it. Data refreshes, status summaries, regular checks. The work happens while you sleep.
Level up in 60 seconds: Identify your most repetitive weekly task and look up whether your AI tool supports scheduled or recurring tasks.
8. You’ve hit the ceiling of pre-built integrations.
The connectors cover your email and your Drive, but they don’t cover the specific database your business runs on, or the industry-specific platform where your real data lives, or the particular calculation that defines how your business actually works. The generic tools are great. But your business isn’t generic.
The same AI that helps you write prompts can help you write code. A small script that connects to a data source, reformats a report, or runs a calculation is not a six-month IT project in 2026. It’s a 30m chat session. It’s a conversation where you describe what you want and iterate until it works. The gap between “I can write a good prompt” and “I can build a small automation” is about the same size as the gap between using a spreadsheet and writing your first formula. You already crossed that gap once.
Level up in 60 seconds: Ask your AI to write a script that automates the most tedious part of your week. Just describe the input, the output, and what happens in between. Invest in yourself by trying and failing. See where it goes.
9. Every conversation makes the next one smarter.
This is the horizon. Your AI connects to your own structured business data (financials, your client records, your document archive) through a custom integration built for your specific business. The data updates automatically. Insights from previous conversations are logged and searchable. The context compounds over weeks and months.
You’re no longer writing prompts. You’re having conversations with something that knows your business deeply and remembers everything. The system gets more valuable the more you use it.
Level up in 60 seconds: You can’t do this one in 60 seconds. But you can start in one minute. Ask your AI what it would need to connect directly and instantly to the data source you wish it could see.
The pattern
Every level is the same move: something that was in the prompt migrates into the environment. Context, data, memory, integrations, automation, code all leave the chat window and land somewhere more permanent.
The prompt gets shorter. The answers get better. And unlike a more polished prompt, a better environment compounds. It makes every future conversation better, not just this one.
Find your level. Make the next move.
